1. Introduction
ExactQuest LLC (“ExactQuest,” “we,” “us,” or “our”) provides independent used vehicle research and advisory services to clients throughout Greater Boston, Worcester, Southern New Hampshire, and Rhode Island. This Privacy Policy explains what personal information we collect, how we use and protect it, and the choices available to you.
This Policy applies to information we collect through our website at www.exactquest.com , during consultations, and in connection with our Independent Car Buying Consulting Services Agreement (the “Agreement”). This Policy is incorporated into the Agreement by reference; if you are a client, both documents govern our relationship.
2. Information We Collect
2.1 Information You Provide Directly
Contact information: name, mailing address, email address, phone number.
Engagement information: budget, timeline, vehicle preferences, and details of the specific vehicle(s) you're considering (year, make, model, VIN).
Financing and identity information: where relevant to your selected Package, driver's license information, financing or credit application information, and insurance information you choose to share with us for purposes of financing and paperwork guidance.
Payment information: we use a third-party payment processor Stripe to process your Package fee. We do not store your full payment card number.
Communications: records of calls, emails, and messages exchanged with us.
2.2 Information Collected Automatically
If you visit our website, we (or our service providers) may automatically collect your IP address, browser and device type, pages visited, and referring website, using cookies or similar technologies such as Google Analytics. You can control cookies through your browser settings.
2.3 Information from Third Parties
We may obtain vehicle history and market data from third-party reporting services (for example, vehicle history report providers) in connection with preparing your ExactQuest Assessment Report.
3. How We Use Your Information
We use the information we collect to:
Perform the Services described in your selected Package, including research, market analysis, mechanical risk assessment, and preparation of your Assessment Report;
Communicate with you about your engagement, including scheduling and follow-up;
Process payment for our Services;
Coordinate with independent third parties you've approved (such as an inspecting mechanic) as part of your Package;
Maintain business records, comply with legal obligations, and enforce our agreements; and
Improve our website and services.
We do not use your information to serve you third-party advertising, and we do not sell your personal information.
4. How We Share Your Information
We do not sell, rent, or trade your personal information. We may share it only:
With independent third parties you've specifically authorized us to coordinate with (for example, an inspecting mechanic under the Full Concierge Package) — solely to the extent necessary to arrange that service;
With service providers who help us operate our business (for example, payment processing, scheduling, email, and data storage providers), who are contractually required to protect your information and use it only to provide services to us;
As required by law, court order, or governmental request; or
In connection with a merger, acquisition, or sale of business assets, subject to the same protections described in this Policy.
Consistent with our Consulting Services Agreement, we do not receive compensation from any motor vehicle dealer, seller, lender, or insurer, and we do not share your information with any such party for their marketing purposes.
5. Data Security
We maintain administrative, technical, and physical safeguards designed to protect your personal information, consistent with the Massachusetts Standards for the Protection of Personal Information of Residents of the Commonwealth, 201 CMR 17.00. We maintain a Written Information Security Program (WISP) describing these safeguards in more detail. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If we experience a breach of security involving your personal information as defined under M.G.L. c. 93H, we will notify you and the appropriate Massachusetts authorities as required by law.
6. Data Retention
We retain your personal information for as long as necessary to perform the Services, comply with our legal and tax obligations, resolve disputes, and enforce our agreements. Specifically, we retain client engagement records for 6 months after the engagement ends, unless a longer period is required by law. You may request that we delete information we are not otherwise required to retain, as described in Section 7.
7. Your Choices and Rights
You may:
Request access to the personal information we hold about you;
Request that we correct inaccurate information;
Request that we delete information we are not otherwise required to retain; and
Opt out of non-essential email communications using the unsubscribe link or by contacting us directly.
To make a request, contact us using the information in Section 11. We will respond within a reasonable time.
Massachusetts does not currently have a comprehensive consumer data privacy statute comparable to California's CCPA/CPRA. If ExactQuest expands services to residents of states with such laws, this Policy should be updated accordingly before serving those residents.
8. Children's Privacy
Our Services are intended for adults. We do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal information, contact us and we will delete it.
9. Third-Party Links and Services
Our website and communications may reference third-party services, such as vehicle history report providers or payment processors. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies directly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on our website with a new “Last Updated” date. Material changes affecting current clients will be communicated directly.
